As an employer in Malaysia, you might have heard about the Annual Wage Supplement (AWS) or the 13th-month bonus.

While common in some neighboring countries, AWS is not a legal requirement in Malaysia.

However, many companies choose to offer it as an additional benefit to attract and retain employees.

But what exactly is AWS, and how does it compare to other types of bonuses? This guide will help you understand AWS and how to implement it in your company.

What is AWS Bonus?

AWS stands for Annual Wage Supplement, an additional payment given to employees on top of their regular salary, usually at the end of the year.

In many countries, AWS is also referred to as the 13th-month salary. It’s a common practice in Singapore and some other Asian nations.

However, in Malaysia, AWS is not a standard requirement, and whether an employee receives it depends on company policy.

So, is AWS a bonus? Not exactly. A bonus is usually performance-based, while AWS is a fixed amount determined by the employer.

Some companies provide both, while others choose to offer only one type of extra compensation.

How to Entitle Employees to AWS Bonus?

If you want to implement an AWS bonus in your company, here are the key steps to follow:

1. Establish a Clear Company Policy

Before offering AWS, ensure you have a well-documented policy in place.

Clearly define AWS in employment contracts, specify whether it is fixed or discretionary, and communicate the conditions employees must meet to receive it.

This helps prevent misunderstandings and sets clear expectations.

A company may specify that AWS is only applicable if the business achieves a certain profit margin.

2. Set Eligibility Criteria

Decide which employees will be eligible for AWS.

Consider factors such as tenure, employment type, and performance standards.

A company may decide that only full-time employees who have completed one year of service are eligible for AWS, while contract workers are excluded.

3. Communicate with Employees

Transparency is key to building trust and motivation among employees.

Announce AWS details clearly in employee handbooks, contracts, or company meetings to avoid confusion.

HR can hold a briefing at the start of the year to explain AWS terms and conditions to employees.

4. Plan Financially

Ensure that the company has the financial stability to sustain AWS over the long term.

If profits are low, consider adjusting the AWS amount rather than removing it entirely.

A company that usually gives one month’s AWS may reduce it to half a month’s salary during economic downturns.

How to Calculate AWS Bonus?

Calculating AWS is straightforward if it follows the standard practice of one month’s salary. Here’s a basic formula:

Formula for AWS Bonus:

AWS = (Monthly Salary) x (Months Worked in the Year / 12)

Example Calculation:

  • Employee’s monthly salary = RM5,000

  • Employee worked for 8 months in the company

AWS = (RM5,000) x (8/12) = RM3,333.33

If an employee has worked the full year, the AWS amount would be equal to one full month’s salary (RM5,000 in this case).

Calculate Pro Rated AWS:

If an employee joins mid-year, AWS is adjusted based on the number of months worked.

For example, if an employee starts in July and earns RM6,000 monthly, their pro-rated AWS calculation would be:

(RM6,000 × 6) ÷ 12 = RM3,000

This ensures fairness in AWS distribution based on tenure.

You also need to consider:

  • Deductions: Some companies deduct unpaid leave when calculating AWS.

  • Taxation: AWS is subject to income tax in Malaysia, so net payouts might differ after deductions.

Should Malaysian Employers Provide AWS?

While AWS is not mandatory in Malaysia, it can be a great way to attract and retain employees.

It serves as an incentive, showing appreciation for employees’ contributions throughout the year.
