Back to Work? Here's What You Should Write in Your Memo

If your company’s about to restart its operations, you should use this chance to draft a back to work memo. You can lay out your plans and procedures in this memo to keep the workplace safe. Here are some elements you can include in the memo.
 

1. If you are ill, stay at home

Majority of employees tend to go to work even when they feel sick. Their dedication is admirable, but we do not want to take any chances. Communicable diseases such as Covid-19 can put everyone in the office at risk. 

In your memo, highlight that when employes are experiencing:

  • Fever

  • Dry cough

  • Body aches

  • Fatigue

  • Shortness of breath

they should stay at home and observe their symptoms. Remind them that coronavirus symptoms normally appear within 14 days of infection. If your employees work with the public, they should be wearing a mask.

Make sure to monitor your employees' temperature to make sure they're healthy.

2. Wear a mask

Employees who work in cubicles are also recommended to wear a mask when they are outside their office. This will reduce the risks of transmitting or catching Covid-19 from others. You may need to remind the employees who are back to work to always wear a mask as they might forget it.
 

3. Monitor temperature

Another good way to prevent or slow down the spread of the virus in your office is to monitor employee temperatures. Limit employee entry and exit points and record their body temperatures before they enter the office. Employees who show temperatures of more than 37.8 degrees Celcius should be sent home.

 

4. Encourage employees to email more

Going back to work does not mean a total return to normalcy. You should emphasise the importance of social distancing and discourage your employees from communicating face to face. Alternatively, you should encourage them to communicate with their coworkers using text, email, or message.

 

Employers cannot force staff who are allowed to travel interstate to quarantine themselves.
 

5. Keep the distance

Remind your employees the point of keeping at least a 2-metre distance from their fellow workers. It might not be guaranteed, but social distancing is still a preferable way to reduce the risks of catching Covid-19 in the workplace. Avoid any form of social gatherings and make sure you put measures around the office to enforce this. 

 

6. Keeping surfaces clean

You should hire cleaning services to clean and disinfect the surfaces and common areas in your workplace from time to time. Focus on doors, restrooms and handrails. Ask your workers to sanitise their individual work stations.
 

7. Close down common areas

Your workplace may have common areas where your workers can gather such as the lobby. You can limit the spread of coronavirus by shutting down these areas. You should also encourage your workers to take their lunch or breaks at their own desk. If this is not possible, consider staggering lunch/break times to limit the number of workers in the common areas. 

You should also put office refrigerators, coffee machines, and vending machines off-limits too. Encourage your employees to bring foods and beverages from home.

 

Your employees might still feel anxious about going back to work. It's your duty to ensure their safety and health while they're at work.
